When sensitive or unexpected situations arise in your parish or school, clear and careful communication is vital. The Diocese of Madison’s Director of Communications is available to assist pastors and parish staff with media inquiries, public statements, and proactive communication strategies. If your community is facing a PR issue or you simply need guidance on how to handle a situation, contact the Communications Office for timely support and direction.

Call early. If an issue arises or you are contacted by the press, reach out to the diocesan Director of Communications right away, even if it seems small. Early action helps prevent problems from escalating.
Designate one spokesperson. In many situations, the diocesan Director of Communications will act as the primary contact with the media. When it is determined that a parish or school will work directly with the media, it is best to choose only one person — usually the pastor or a designated staff member — to speak publicly on behalf of the parish or school.
Be honest and transparent. Share accurate information; don’t speculate or guess. If you don’t have an answer yet, it’s okay to say so and promise to follow up.
Keep it brief. Short, clear statements work best — both for parishioners and the media.
Prioritize compassion. In sensitive situations, express care and concern before anything else. People want to know they are heard and valued.
Think of your parishioners first. Communicate directly with your community (website, Flocknote, bulletin, etc.) so they hear news from you, not the media or rumors.
